Final-mile operations
What a useful proof-of-delivery record should show
The customer sees the package at the destination. The supporting team sees the delivery record. A useful record connects those two views by accurately describing how the delivery was completed.

Understand what the shipment requires
The required completion steps can vary by shipment and assignment. Learn when the provided tools call for a photo, signature or another form of confirmation. Do not assume that one method can replace another.
Review the instructions before completing the handoff. If a requirement cannot be met, use the appropriate exception or support process. A customer preference does not automatically remove a shipment requirement, and a completed screen is not proof that the correct procedure was followed.
Make images useful within the approved process
Where a delivery photo is required, it should help identify the package’s actual placement. Follow the photo guidance provided for the role, including framing, image quality and privacy requirements.
A blurred image or one showing an unrelated location provides little help to someone trying to find the shipment. Review the result using the approved workflow when possible. Do not stage a different location to produce a more convenient image or retain customer photos on personal channels.
Keep signatures and recipient information accurate
When a signature or recipient confirmation is required, follow the authorized process for obtaining it. Never invent a name, substitute your own signature or describe a handoff that did not occur.
Questions about who may accept a shipment should be resolved through the applicable delivery instructions and team support. The aim is a truthful account of the interaction. A shortcut can leave the customer and the operation with a misleading record.
Correct issues through the right channel
If you notice an error after completing the record, report it promptly through the team’s established correction process. Explain what is wrong and what actually happened rather than attempting an undocumented workaround.
Accurate records help people investigate a question without relying on memory alone. For someone new to delivery, this is an important training topic: ask how to recognize a good record and how to handle a mistake before the first independent assignment.
